Scholars’ Handbook
UPON ARRIVAL
- Do not forget to collect all your baggage and personal belongings at the airport.
- Please ensure that all personal travel documents are kept safely. Do not let them out of sight.
- Check that your passport is appropriately stamped before leaving the immigration counter.
- Please make every effort to arrange for accommodation prior to enrolment. The University should be able to assist on this matter.
- Select the type of bank account that is economical to maintain.
- Register for your health insurance. This may be done through the University.
- Complete the personal particulars form and send it to Student Advisor by the end of the second week of arrival.
- Please attend the university’s orientation/induction programme.
- Please attend all briefings conducted by PETRONAS’ Student Advisor.
ALLOWANCES
Scholars will receive a monthly allowance, which will be credited directly into their bank accounts on quarterly basis. As such, it is very important for scholars to update their account information as and when there is any change.
Scholars are eligible for the following allowances throughout the duration of studies:
- Living allowance
- Book allowance
- Instrument allowance
- Computer loan
- Thesis (final year project)
- Tuition Fees
- All tuition and examinations fees are paid directly to the university. - Settling-in allowance
- Clothing allowance (once-off)
- End of study allowance
- Economy air ticket at the beginning of study
- Home Leave Passage
- Economy air ticket to Malaysia and back to the University location once throughout the study period. - Economy air ticket from the University location to Malaysia at the end of the study period.

REIMBURSEMENT
- Medical Consultation
In countries where there are medical insurance schemes, it is compulsory for scholars to obtain the medical insurance. PETRONAS will only reimburse after a claim is made with the insurance provider.
- Prescription
Make a claim from the insurance provider first before submitting a claim for the balance from PETRONAS.
- Dental Care
PETRONAS will only reimburse for dental extraction and filling.
- Visa
PETRONAS will reimburse the visa application fees (extension/renewal).
- Passport Renewal
PETRONAS will reimburse passport renewal fees (Student to renew and claim later).
- Insurance
PETRONAS will reimburse for the health insurance coverage (overseas student health cover), which is renewable every year (Please renew and claim later).

DURING YOUR STAY
1. Examination Results
- Scholars are required to forward a copy of the exam results to your Student Advisor notwithstanding that the Universities will usually send a copy of Semester results to Sydney Office. However, with “Privacy Law” in place, it is your duty to ensure a copy is sent to your Student Advisor.
- Scholars are subject to Consequence Management matrix as follows:

2. Change of Addresses
Please inform your Student Advisor when there is any change to your corresponding address; whether in Malaysia or Australia or New Zealand.
3. E-mail Address
Please keep your Student Advisor informed of your email address should there be any changes. This will be the main form of communication between scholars and Student Advisor. Please also update your mobile number if you have changed to a new one. Indicate your full name and University when communicating via email.
4. Meeting with the SA and Management Representatives
Scholars are required to attend meetings with the Student Advisor and/or with any Management representatives. Plans for vacations and holidays should be secondary to these meetings.
5. Accommodation
Scholars are reminded to enter into a lease agreement (“flexible term” not “fixed term”) within the study period. Scholars could seek help from Student Advisor’s office on policies of accommodation and facilities as they may vary depending on location/type of accommodation.
6. Personal Safety and Health
Scholars are advised to look after their personal safety and health. Here are some tips:-
- Lock up when leaving your room/house.
- Keep your passport, IC and other important documents under lock and keys.
- Avoid walking alone at night.
- Avoid withdrawing cash from the ATM alone especially at night.
- Stay healthy by eating good food and exercising regularly.
7. Personal Finance
Scholars are advised to spend wisely.
8. Deferment/Extension
Scholars are required to complete their studies within the time period stated in their sponsorship offer letters and agreements. However, should they face difficulties in their studies and need to extend their stay; they must apply to the Student Advisor (at least one Semester ahead) either for an extension of sponsorship duration or deferment of reporting to Education Sponsorship Unit.
All relevant documents should be submitted together eg: a request letter (including why PETRONAS should continue the sponsorship), full study plan, all exam results from the first Semester, support letter from Programme Head or Academic Advisor or Course Advisor.
These applications will be reviewed on a case by case basis. All cases will be prepared and submitted to KLCC Office for approval.
9. Visa Extension
Please contact the Australian or New Zealand Department of Immigration (DIMIA) to apply for extension of your study visa. You are to comply with all the requirements pertaining to its application.__
INDUSTRIAL TRAINING
Scholars are encouraged to undergo industrial training related to their respective fields of study. Places for industrial training are limited, depending on the availability at various departments and subsidiaries within PETRONAS. However, scholars may also seek placement with organisations in the country where they are studying.
Please note that PETRONAS will not provide the air ticket. Scholars are advised to plan the usage of their Home Leave Passage for practical training purpose.__
Application Procedure:
For industrial training application in PETRONAS Group, students are required to fill up the form which is available on-line in our corporate website.

For your info this Industrial Training Programme is catered for Malaysian Students or PETRONAS Sponsored students undergoing their Degree Course, in Local or Overseas Higher Learning Institutions (HLI), where Industrial Training is mandatory part of the course.
Places are subject to vacancies and priority is given to PETRONAS sponsored students.
Trainees are advised to submit their application early (3 month before) or at least 90days before their training start date.__
COMPLETION OF STUDIES
- End of study : Scholars are required to return home immediately upon completion of studies. They will be paid an allowance which is 60% of their monthly allowance, for the expenses incurred in shipping their personal belongings home.
- Air ticket: Scholars are advised to inform the Student Advisor two months in advance on their expected date of return to ensure that the flight reservations will be confirmed as requested.
- Bank Account: Scholars are reminded to close their bank account(s) before departing home. This is to avoid incurring a negative balance arising from bank service fees.
- Letter for the Customs: Scholars are advised to put in a written request for a Custom Letter from the Education Malaysia Australia Sydney certifying that the items to be shipped back are their personal belongings.

REPORTING UPON COMPLETION OF STUDIES/END OF SPONSORSHIP PERIOD:
Please be informed that effective 1st May 2009, the Education Sponsorship Unit PETRONAS (“ESU”) now called Sponsorship & Talent Sourcing (STS) will allow PETRONAS sponsored students to report upon completion of sponsorship via 3 (three) following methods:-
1) To physically report to STS Headquarters Office, Level 9, Tower 1, Kuala Lumpur City Centre;
OR
2) To write to:
Name of respective Student Advisor, Sponsorship & Talent Sourcing Unit, Level 9, Tower 1, Kuala Lumpur City Center, 50088 Kuala Lumpur;
OR
3) To email to address below for graduates from Australia & New Zealand :- •Overseas Students – esu_oversea@petronas.com.my
PLEASE BE REMINDED that upon reporting, all graduates must submit the following documents:
1) Duly completed REPORT OF COMPLETION FROM (“Form A”) which can be downloaded from here ;
2) Duly completed DECLARATION FORM (If you have not completed and submitted during your interview session); here is the form;
3) 2 copies of Final Exam Results Slip /Transcript ;
4) 1 passport-sized photo;
5) 1 copy of IC/Passport;
6) 1 copy of SPM result;
7) 1 copy of Scroll (if available);
8 ) 1 copy of CV/RESUME for recruitment purposes;
9) 1 copy of Job Performance Report (for Chartered Accountancy [CA] returning students).
For those who have attended “Structured Interview” at the time of reporting, then kindly just submit documents 1 & 3 above.
PLEASE BE REMINDED ALSO that failure to report upon completion of studies or end of sponsorship shall constitute a breach of the terms and conditions of the Agreement and any modifications made thereunder, and PETRONAS shall be absolutely entitled to exercise its rights and remedies without any further reference thereto.
Please take note that the DEADLINE for reporting shall remain as per the sponsorship agreement:
1) For overseas students, 2 (two) months from the completion of sponsorship period; and 2) For local students, 1 (one) month from the completion of sponsorship period.
All documents (i.e Form A, Declaration Form (if applicable), 2 copies of transcript/final exam results, a passport-sized photo, copy of IC/passport, copy of scroll (if available) & copy of CV/resume) must be attached together in the email should you choose to report online.
